Michael,

I've been thinking about this one, and the more I think about it I
keep coming back to what Relevance you want for your search. And some
interesting questions related to that:
1. Would expertise (read document) related to a patent show come up
higher if the patent was close to expiry?
2. Would the document's content/context always rank higher compared to
age?

Those are the ones I could think of without convoluting what you are
trying to do. There are mathematical models that revolve around tf-idf
(http://en.wikipedia.org/wiki/Tf-idf). I had only read about this
stuff since first working in book indexing years ago, but I haven't
done any mathematical modeling to come up with how to add relevance
weights myself. I was in a group that decided relevance, but wasn't
the subject matter really well. A domain map/taxonomy might help as
well. Very interesting stuff :).

I tried to approach it from a traditional point of contact (SME) for
your problem, but I'm sure you've already gotten that part figured
out. I'd be glad to discuss with you further if you liked. Let me know.

develop criteria & indicators to evaluate various forms
of content in
terms of their relative permanence. I can think of no one
better
trained in this sort of thing than librarians with
subject-matter
backgrounds.

Having possibly provided the 1% inspiration, all that
remains is the 99%
perspiration to develop the criteria and indicators. I
dunno - if there
is enough interest in the subject and there isn't an
adequate
literature, perhaps other SIKM members might have an
interest (as I do)
in setting up a wiki somewhere and having a go at seeing
what we can
construct together.

I'm not sure if this applies directly to the question but here goes anyway.
- Whenever we added content we asked the submitter to estimate a date by which the material may be out of date
- On a monthly basis we communicated to those submitters that had provided content that was approaching the out of date date asking them to determine if it's still OK or needs to be updated or deleted
 
Most people followed this process well with the result being that we rarely had an issue with out of date content

Michael,

How often do people use that document? And who uses the document? How? A document is influential/valid to the extent that people use it in their work and to create new documents from it. Is it often re- used, a conduit to new documents? Don't judge a document in isolation, judge its value from how it is used!

Done several projects like this on the ACTUAL use of documents/data bases/resources/web sites/etc. -- can do this analysis by process/ department/team/topic/etc.

If we have a learning report that is 10 years old, how valid is that expertise compared to one from the last year? Obviously, the impact of aging is different per expertise source as well, since a patent would have a much longer life as a valid expertise source.

I'm a huge fan of Xobni!  I've used it for a few months and I've found myself actually using it, not just thinking its cool.  For me, its a great way to easily find attachments from a given person.  It's also nice to see 'related' people to a certain person because I find it easier to find exact vendor names/emails when I know my internal company contact.  I also use the discussion thread view because I find it easier to follow the threads compared to standard Outlook thread-views.  The phone number data field is nice as well because it truly helps to grab people's phone numbers that are external to my company (since it automatically reads the phone number(s) from emails). 

On the negative side, I agree with Jack, we've found that it only tracks emails that are actually stored in your mailbox.  If you delete them, then it tends to remove those stats from all of the views (my supervisor has a slightly strange practice to me, he deletes all of his emails and drags the "important" ones to a folder on his desktop, which ruins the stats as far as we've seen).  It sounds like maybe they've updated that and started to cache the data?  Also, my big one, I would like to see a server version of the software so that the cool network analysis could show everyones rankings (in a map, not just a list), not just my own.  Actually, its funny, we've used it as an extremely basic way to map a social network - we request a group of people to send over their top 10 and then can draw the maps from there (would be much nicer if they were dynamic)... I did send that comment over to Xobni :)

On a related note, may I ask if anyone is using the unsupported 'knowledge network' add-in for Sharepoint 2007?  I seem to recall one of our recent calls where someone was?  Any updated thoughts there?
